MAINTENANCE & REPAIR

Repairs up to £200 (including VAT)If there are sufficient funds available, repairs can be arranged without requiring additional consent.  The liability for these repairs doesn’t arise if no funds are held.

This approach makes sense for minor repairs or routine maintenance tasks that fall within the specified budget.

Estimates for costlier repairs.

For more significant works, renewals, or repairs that are likely to exceed the agreed-upon contingency figure, the practice is to submit estimates to you for approval. However, there are exceptions: in emergencies or when compliance with legal requirements (statute) is necessary, estimates may not be sought beforehand.

We have a successful process in place to handle maintenance and repairs efficiently! This makes the difference in keeping things running smoothly.

KEYS  –  KEYZAPP
Taking charge of, managing and issuing landlord’s keys is an important service that we provide as a Lettings Agent. Managing keys is a people process and “human error” is often the reason that keys go missing.  Hence, we use Keyzapp.

What is KEYZAPP
Just like contactless payment cards, the keys have a zapper attached, we scan them in or out.   Access anytime, anywhere, from any device.  Record of every click for a secure & thorough audit trail

We always know who has the keys.  We can quickly identify keys sets with a tap or scan. We can do this in the office or on the road from our mobile – key data is securely accessible from anywhere.

We constantly need to provide contractors with keys. Our system Emails and send them text message reminders will chase keys back to the office, so we don’t have to worry about misplacing any keys ever.

The Tenancy Deposit Scheme (TDS) is indeed an important aspect of rental agreements in England and Wales, providing security and peace of mind for both landlords and tenants. Here’s a brief overview:

  • Government Approval: TDS is a government-approved tenancy deposit protection scheme.
  • Operated by TDS: It’s managed by the UK’s leading provider of deposit protection and dispute resolution services.
  • Legal Requirement: Landlords and letting agents are legally required to protect deposits on assured shorthold tenancies.
  • Membership: EPS is a member of the custodial tenancy deposit protection scheme, which offers free, impartial dispute resolution services for any disagreements regarding the division of the deposit.

This scheme ensures that tenants’ deposits are protected during their tenancy and that any disputes at the end of the tenancy can be resolved fairly and without unnecessary difficulty.

  1. Deposit Collection: The maximum legally allowed deposit, equivalent to five weeks’ rent, is collected and paid to the Tenancy Deposit Scheme (TDS).
  2. Documentation: A Deposit Certificate is issued by the TDS, and copies are distributed to the agent, landlord, and tenant. A Prescribed Information Form is also sent to the tenant for signature.
  3. End of Tenancy:
    • A full check-out inventory is conducted and compared with the check-in inventory.
    • If necessary, cleaning, repairs, or decoration are arranged (up to £250).
    • The tenant is informed of the intended deductions from the deposit.
  4. Resolution:
    • If the tenant agrees with the deductions, the TDS pays the agent, who then pays the contractor.
    • If the tenant disagrees, a Landlord’s Statutory Declaration is sent to the TDS with evidence for the deductions.
    • The TDS provides an impartial dispute resolution service, and their decision is final with no appeal.

This process ensures that both the tenant’s and landlord’s interests are protected, and any disputes are resolved fairly by an impartial third party.
